The Role:

We are seeking an Executive Assistant and Office Manager to join our team at our Eastleigh Head office. This high-profile role involves working closely with our Senior Leadership Team (SLT) and the broader business, handling a diverse range of tasks from SLT support to administrative duties for our recruitment consultants.

The ideal candidate will have experience in an EA/PA or Office Manager role, preferably with some marketing exposure. Experience in a rapidly growing business, scaling from 10 to 50 employees, is highly desirable. Previous work in a recruitment setting is advantageous but not mandatory. Key attributes include attention to detail, self-motivation, exceptional organisational skills, a passion for analytics, and the ability to manage a small team. The candidate should also be eager to learn new technologies and practices.

The role demands strong written and verbal communication skills, superior administrative and organisational abilities, and the capacity to juggle multiple priorities effectively. The Executive Assistant and Office Manager will be expected to work independently on projects from start to finish and handle high-pressure situations, all while maintaining confidentiality. This position is also responsible for overall office management, ensuring smooth operations for both internal and external clients.

Key Responsibilities: Administrative Support and Communication:

  • Answer and direct phone calls, emails, and inquiries in a professional and timely manner
  • Handle general administrative tasks such as record-keeping, data entry, and maintaining office supplies, acting as the first point of contact for employee queries
  • Supporting the Senior Leadership Team
  • Executive Assistant administrative duties
  • Coordinate domestic and international travel arrangements
  • Provide essential IT support, assisting with hardware and software troubleshooting

Document, Office, and Financial Management:

  • Create and maintain standard operating procedures (SOPs)
  • Organize files, folders, and documents
  • Manage office policies, health and safety procedures, and records
  • Manage office expenditure and accounting software

Human Resources, Recruitment, and Coordination:

  • Assist in the recruitment process, including sending offer letters, contracts, and performing required identification checks of new employees
  • Assist with HR tasks, including staff appraisals, training, and onboarding
  • Coordinate meetings, conferences, and events

Customer Relations and Reporting:

  • Handle customer support inquiries
  • Create presentations, PowerPoints, infographics, and PDFs
  • Create statistical reports

Marketing, Branding, and Digital Management:

  • Create a monthly newsletter
  • Ensure brand consistency across all social media and online platforms
  • Keep online directories up to date
  • Apply to various recruitment/business/ServiceNow awards
  • Manage all social media channels (LinkedIn, Facebook, Twitter, YouTube)
  • Coordinate external freelancers for graphic design, web development, and content creation
  • Track the success of blogs, reports, social media posts, and email campaigns

Temporary Worker Compliance:

  • Create and send Client and candidate contracts to the relevant contacts
  • Ensure the appropriate compliance documents are received from temporary contractors whilst monitoring and chasing outstanding documents • Filing of appropriate documents onto the internal CRM system
  • Ensure contracts align with the latest guidance from The Recruitment and Employment Confederation
  • There will be other ongoing ad-hoc projects to become involved in supporting the wider business

Software Skills: Essential:

  • Excellent IT Skills (MS Office, Word, Excel and PowerPoint Presentations)

Desirable:

  • GSuite
  • Zapier, Power Automate
  • ActiveCampaign or similar
  • Canva or similar
  • SourceWhale
  • LinkedIn (Recruiter, Sales Navigator)
  • Vincere (or other recruitment CRM)
  • Understanding of WordPress admin site
